Certifications that really expire
Federal OSHA 10 and 30 cards do not expire, but plenty of what your employees carry does:
- Forklift operator evaluations: at least every three years under 29 CFR 1910.178(l)(4)(iii), and sooner after an incident or a near miss.
- CPR and First Aid: the issuing organization sets validity, commonly two years.
- NYC SST cards: five years, renewed with refresher hours.
- Nevada OSHA completion cards: five years under NRS 618.9911.
- HAZWOPER: an 8-hour refresher every year under 29 CFR 1910.120.
- NCCCO crane operator certification: five years.
- Plus internal authorizations such as lockout/tagout, confined space entry, aerial lifts and equipment sign-offs.
Each has its own cycle, and missing one can take a person off the job.
How tracking works
- Add the employee with a phone number and, if they agree, SMS opt-in.
- Add each certification: type, card number, issuer, issued date and an optional expiry.
- Attach a photo of the card (Crew plan and up).
- Relax. The reminder job runs daily and emails you at 60, 30 and 7 days. Opted-in employees get a text in English or Spanish.
Why SMS matters
Field employees rarely read work email. A text that says "Your forklift evaluation expires in 30 days, talk to Mike to schedule" gets acted on. Office reminders alone put all the chasing on one person. Texts share the load with the employee who actually has to renew.
Pricing that doesn't punish growth
Free for 10 employees. Crew is $19 a month for 25 employees, with SMS, photos, Spanish and the audit PDF. Company is $59 a month for 100 employees, multiple sites, QR proof pages and CSV export. No per-seat fees for admins.
