Training matrix software that actually reminds people

Your training matrix, live. Workers down the side, certifications across the top, and a reminder whenever a cell is about to turn red.

From spreadsheet to software

Most contractors start with a training matrix template, a spreadsheet with names in rows and courses in columns. It works until the crew grows past a dozen people or a second job site starts. Then the matrix goes stale: nobody updates it when someone finishes a course, nobody notices the amber cells, and the only time it gets opened is when an auditor asks for it.

Training matrix software keeps the same grid but does the watching for you.

What the matrix looks like in OSHA Card Tracker

  • Rows: workers, with their trade, site and supervisor flag.
  • Columns: any certification type, including OSHA 10/30, NYC SST, forklift, CPR, fall protection, aerial lift, NCCCO and HAZWOPER, plus your own custom types.
  • Cells: status badges (valid, expiring within 60 days, expired, or no expiry), with the date on hover.
  • Site filter: each job site lists the training it requires, and the dashboard shows the gaps for that site.

Why it beats a shared spreadsheet

  1. Reminders. Emails at 60, 30 and 7 days, plus texts to the worker on the Crew plan. A spreadsheet never warns anyone.
  2. One copy. Office and field see the same data. No more "which version is current?"
  3. Proof attached. Card photos live on the worker's record, not in a text thread.
  4. Audit output. One click produces a PDF your GC or insurer will accept.
  5. Limits you can live with. $19 a month covers 25 workers. You don't pay per seat for the office manager and two foremen.

Who it's for

Electrical, roofing, HVAC, plumbing, concrete, framing and specialty contractors with 5 to 100 field workers. It also suits warehouses and facilities teams tracking forklift evaluations and lockout/tagout authorizations. Large enterprises with an LMS and HR integrations will want a different tool.

Getting your existing matrix in

Start free and add workers one at a time, or bring your matrix in batches. Most crews of 20 are fully entered in under an hour, and the card photo upload works straight from a phone camera.

Frequently asked questions

Is there a free version?

Yes. Up to 10 workers, with email reminders and the job-site view.

Can I keep my spreadsheet as a backup?

Yes. Company plan users can export CSV at any time and keep an offline copy.

Does it handle certifications that don't expire?

Yes. Expiry dates are optional, so federal OSHA 10/30 cards show as "no expiry" instead of an invented date.

Can I track non-safety training?

Yes. Use the custom type for anything, such as equipment authorizations or internal courses.
